West Digital Studios’ Podcast Studio Terms and Conditions
1. Interpretation
"Client" refers to any individual or entity utilising the Studio.
"Equipment" encompasses all fixtures, fittings, and items provided within the Studio.
"Studio" designates the West Digital Studios podcast room.
"West Digital Studios" denotes the operating entity of the Studio.
"Premises" signifies the building housing the Studio.
2. Reservations and Accessibility
The Studio is available for booking 24/7, contingent on availability.
All reservations must be processed through our online booking platform or by contacting us directly at westdigitalstudios@westdigital.co.uk.
3. Content Standards
Material deemed offensive, unlawful, or detrimental is prohibited without explicit written consent from West Digital Studios.
If your planned content falls into these categories, please consult with us prior to booking to discuss your project specifics.
4. Specialised Usage
For applications beyond standard studio rental (e.g., live events, custom setups), please discuss your needs with us before making a reservation.
West Digital Studios retains the right to approve or decline specialised bookings at its discretion.
5. Refunds and Cancellation
Full payment for studio rental is required upfront at the time of booking.
Refund and Cancellation Policy:
Full refunds are issued for cancellations made 7 days or more prior to the scheduled booking.
A 50% refund is offered for cancellations made between 7 days and 48 hours before the booking start time.
No refunds are provided for cancellations made within 48 hours of the booking.
Refund requests must be submitted 7 days before the booking date.
To request a refund or cancel a booking, please contact us at westdigitalstudios@westdigital.co.uk. Refunds are reviewed and processed using the original payment method within a specified number of days post-approval.
6. Studio Regulations
Maintain respect for the Studio, Equipment, and fellow users.
You are accountable for any damage inflicted upon the Studio or Equipment during your booking.
Adhere to all safety guidelines and instructions provided by West Digital Studios.
7. File Management and Storage
If West Digital Studios records your session, the resulting files will be delivered to you within 7 days of the recording date, if you require a faster turn around then please discuss this with West Digital Studios.
Files will be deleted from our systems 30 days after the recording date. It is your responsibility to download and back up your files within this time-frame.
8. Liability and Coverage
West Digital Studios disclaims responsibility for personal injury, loss, or damage to equipment or personal items during your booking.
Clients are advised to secure their own insurance coverage.
9. Booking Termination
West Digital Studios reserves the right to terminate any booking immediately if a user breaches these Terms or engages in any disruptive or harmful behaviour.
In the event of termination, no refunds will be issued.
10. Privacy and Confidentiality
West Digital Studios may collect and process personal data in accordance with our Privacy Notice (below)
Users are responsible for safeguarding their personal information and belongings.
11. Modifications to Terms
West Digital Studios reserves the right to revise these Terms at any time. Any amendments will be effective immediately upon posting on our website.
12. Indemnification Clause
Users consent to indemnify and hold harmless West Digital Studios, its staff, agents, and representatives from any claims, liabilities, damages, or costs arising from the use of the Studio.
13. Governing Law and Legal Venue
These Terms are subject to and shall be interpreted in accordance with the laws of the United Kingdom.
14. Health and Safety Provisions
Smoking is prohibited within the interior premises, including the Studio.
Familiarise yourself with the fire exits, fire extinguishers, and safety protocols.
15. Arrival and Session Duration
Please arrive 15 minutes prior to your scheduled booking time.
Your booking period must include time for setup, tear-down, and data transfer.
Exceeding your allocated session time will incur late fees. This will be charged per 30 minutes with a minimum of 30 minutes.
16. Equipment and Damage Reporting
Report any damaged or malfunctioning equipment to a staff member immediately.
You will be held financially responsible for any damage caused to equipment.
Maintain the Studio's cleanliness and order.
18. Rights and Proprietary Information
You retain all intellectual property rights to the content you create.
You grant West Digital Studios a non-exclusive, royalty-free license to use excerpts of your content for promotional purposes. If you oppose this then please let us know in advance of your booking.
